The Problem

Asset locations lost in spreadsheets. Contractors needing site visits just to find a valve. Poor handovers from construction.

pin360 fixes this.

Facilities managers are responsible for buildings they often never fully understand visually. Information about plant locations, asset specifications, and site conditions typically lives in spreadsheets, O&M manuals, and the memory of the people who installed the systems. When key staff leave or buildings change hands, this knowledge is lost — and the cost of that loss is measured in unnecessary site visits, contractors who arrive unprepared and must return, and maintenance decisions made without adequate context.

Pin360 creates what facilities managers often call a 'visual manual' of the building: every plant room, riser, access point, and significant asset documented with a 360° photograph at its exact location on the floor plan. New maintenance staff can be oriented to a building in minutes by exploring the virtual walkthrough. Contractors can be briefed on a plant room's layout before arriving on site. Incoming tenants can be handed a link to an interactive record of every space they are taking on.

For O&M handovers at practical completion of a construction project, pin360 provides a format that clients can actually use — not just a contractual deliverable that lives in a file server and is never opened again. The link-based sharing means anyone with responsibility for the building can access the documentation on a smartphone, without needing to locate a folder or download software.

For facilities teams managing large portfolios, pin360 creates consistency: every building documented to the same standard, accessible in the same format, searchable by anyone with the link.

How It Works in Practice

1

Set up the building project

Create a project in pin360 for the building or portfolio site, uploading the floor plan PDFs for each level. For large buildings, upload each floor as a separate page within a multi-page PDF or as individual files. The project structure mirrors how the building is organised and becomes the permanent home for all documentation.

2

Document key assets and plant rooms

Walk each level with your 360° camera and photograph every significant asset: plantrooms, electrical risers, roof plant, valve sets, meters, access points, and any safety-critical locations. One panorama per location gives a complete visual record of each asset in its physical context, including surrounding pipework, labelling, and clearances.

3

Pin assets with technical notes

At each pinned location, add notes describing the asset, its specification, maintenance requirements, service history, and current condition. For items requiring attention or upcoming planned maintenance, use severity pins to flag urgency. The combination of the 360° visual and the written note creates a comprehensive, accessible asset record.

4

Build the ongoing maintenance record

As the building is maintained or inspected over time, update pin notes to reflect the current condition and log maintenance activities. New defects get new severity pins. The floor plan becomes a live visual asset register that captures the building's condition at each inspection cycle and shows how it changes over time.

5

Share with contractors and maintenance teams

Generate a link to the relevant floor level and share it with a contractor before a visit. They navigate to their work location virtually, understand the site conditions, identify the relevant isolations or access routes, and arrive prepared. No software installation, no login, no file download — just a link that works on any device.

Frequently Asked Questions

Facility managers use a range of tools — from CAD viewers to spreadsheet-based asset registers — but few provide a visual walkthrough of a building tied to its floor plans. pin360 lets facility managers create a permanent interactive record where every plant room, asset, and maintenance area is pinned to the actual building drawings.
